How to write a music pitch email that gets read

Curators, A&Rs and radio hosts open pitches on their phone, between other jobs. Most decide in the first two lines whether to press play. A good pitch email does three things fast: shows you know who they are, says what the track is in one line, and gives them one link to hear it. Everything else is optional.

Keep it under 120 words. Long backstories, press-release tone and a list of every platform you are on read as mass mail. If they like the track, they will ask for more.

Write a subject line they can sort

People who get dozens of pitches a day scan subject lines like a spreadsheet. Put the artist, the track and the genre where they can see them, and add one reason to open.

A fake "Re:" or a subject in capitals gets you remembered for the wrong reason. So does a subject that says nothing about the music.

What goes in the body

A personal first line. Name a track they added, a show you heard or a release they put out. One real detail beats three compliments. If you cannot find one, you are probably writing to the wrong person.

One line about the track. Genre, mood and one or two artists it sits next to. "For fans of" helps a curator place it in seconds.

One link. A private SoundCloud link, a Spotify pre-release link or a download page for DJs. No attachments: they fill inboxes, trigger spam filters and many people never open them.

One proof point, if you have it. Streams on the last single, a known DJ playing it, a radio spin. Pick the strongest one, not all of them.

A clear, small ask. "Would it fit your playlist?" is easy to answer. "Let me know what you think" is not.

Timing and follow-up

Pitch before release day, not after. Playlist curators and blogs plan ahead, and Spotify asks for editorial pitches through Spotify for Artists at least 7 days before release. Send one follow-up about a week later, short and polite, with the same link. If there is no answer after that, move on. The generator writes the follow-up for you and shows the date to send it.

Mistakes that kill a pitch

Sending the same mail to 200 people in To or CC. Writing to a techno label with a pop track. Pitching a playlist that has not been updated in a year. Asking for money or guaranteed streams. Chasing three times in a week. Each of these gets you filtered or blocked, and curators talk to each other.

How long should a music pitch email be?

Under 120 words is a good ceiling. Most people read pitches on a phone and decide in a few seconds. Say who you are, what the track is, give one link and ask one question.

Should I attach an MP3 or WAV?

No. Send one link instead: a private SoundCloud link, a pre-release streaming link or a download page for DJs. Attachments fill inboxes, can trip spam filters and are often not opened.

What is a good subject line for a music submission?

Artist, track title and genre, plus one reason to open, such as who it sounds like or a premiere offer. Avoid capitals, exclamation marks and fake "Re:" subjects.

When should I send a pitch before release?

For playlists and blogs, two to four weeks before release is a good window. Spotify asks for editorial pitches in Spotify for Artists at least 7 days before release. Labels need longer because they plan their schedule months ahead.

How many times should I follow up?

Once, about a week after the first email. Keep it short, include the same link and make it easy to say no. If there is still no answer, move on to the next contact.
